Mismatched cushions make a venue look tired faster than almost anything else. Here's how to order a replacement set once, and keep it matching for years.

Short answer: measure one of each seat type, count how many of each you have, pick one fabric for the whole set, and keep a written record of every size and fabric name. That record is what lets you replace a single worn cushion next year and have it match the rest.

Why replacement cushions so often don't match

Most mismatched seating has the same cause: cushions were bought at different times, from different places, in "close enough" sizes and colours. One bench ends up thicker than the next, one beige is warmer than the other, and a set that looked sharp on opening day looks patched together. Exact sizes and a named fabric fix that.

Step 1: List your seat types

Walk the floor and group your seating into types: banquette sections, dining chairs, bar stools, lounge chairs, daybeds. Most venues have three to five types, even when the total seat count runs into dozens. You only need to measure one of each type, as long as the furniture really is identical. Step 2: Measure each type properly

Step 3: Choose one fabric and one edge finish

Consistency is what makes commercial seating look designed rather than accumulated. Pick one fabric (or one main fabric plus one accent for back cushions) and one edge finish for the whole venue. Ask for physical swatches and look at them in your actual lighting, both daylight and evening, before you decide.

Step 4: Keep a seating spec sheet

Write down every seat type with its exact size, quantity, fabric name, edge finish, and whether it has foam or is cover only. Keep it with your fit-out documents. When a cushion gets damaged or worn, you reorder that exact line rather than starting from scratch. Multi-outlet groups can share one spec sheet so every location looks the same.

Step 5: Plan the swap around service

Cushions are made to order, so allow for production time. The easiest approach is to order the full set, then swap everything in one go on a quiet day, so customers never see a mix of old and new. If budget means phasing it, replace by zone (the whole terrace, then the whole indoor banquette) rather than a few seats here and there.
